Inventory Tracking

Keep a real-time view of inventory levels, maintenance events, and restocks.

Ledger structure #

1. Create a Master Inventory collection ledger.
2. Add custom fields: sku, location, condition, quantity_on_hand, unit_cost.
3. Create child ledgers for each location or kit (for example, Warehouse A, Studio Kit, Pantry).

Adding items #

• Import items via CSV or use quick add forms.
• Append entries whenever an item is moved or its condition changes.
• Attach photos or receipts for high-value gear.

Balance link for consumables #

For items that deplete (like pantry stock), create a linked balance ledger named Consumables. Deduct quantities as they are used, and credit when restocked.

Dashboards #

Use filters to show items with low stock or upcoming maintenance. Saved views help families or lending circles review specific subsets without altering the underlying data.

Exports and audits #

Schedule a monthly export from the parent ledger. Because exports are deterministic, you can compare them to previous periods to audit shrinkage or damage.
